Reports-Sorting and Grouping

If you prefer to group records together based on one of the fields, you can edit your report to do so with the Sorting and Grouping button. This will allow you to add other sections to your report, possibly for the purposes of calculating data.

For our sample report, we will add the Last Name field to the group, over the Date field, which is already in the Sorting and Grouping box. Under the Group Properties section, we'll set Group Footer to yes. We will also set the option to Keep Together to whole group. This will prevent a particular group from being broken off at the bottom of a page and continued on the next.

Here is the result.

Notice the last name is repeated for each record. If you wish to prevent this, you can right-click on the Last Name field in design view and go into the Properties.

Hide Duplicates is the option you use. Here is the result.
